On a busy Monday, my cleaning tech showed up to a job the homeowner had already canceled by email that nobody in our office ever checked. The homeowner had family over, was understandably upset, and told her to leave. When we looked into it, she really had emailed us the day before to cancel, but the one person who normally checked that inbox happened to be out of the office, and nobody else thought to look.


That wasn't a story about a bad employee. It was a story about a system that only worked if the right person remembered to check it. In this episode I break down why a system that depends on someone remembering isn't reliable, and how I built systems that don't rely on memory using one simple tool.


I also walk through the five areas every business already has systems in, whether they're documented or not, and a simple exercise you can run this week to find the one process in your business that's quietly depending on somebody remembering to do it.
