When a new rep's Zoom calls never reach HubSpot, the cause is usually a sync setting nobody turned on. We walk through HubSpot's Zoom help article: what has to be on in Zoom, where the global and per-user sync settings live, and what won't sync at all. First thing to try: open Settings, Integrations, Connected Apps, Zoom, then Global settings, and check who is selected for recording and transcript sync.

HubSpot's help article (updated Sep 29, 2026) still describes syncing recordings for none, all, or selected users, so we couldn't confirm the role control there. Recordings from Personal Meeting IDs don't sync, and past meetings need a manual sync.
