  • 50 | ChatGPT Took the Stress Out of My Tax Season: A Faster Way to Categorize Receipts and Total Deductions

    Tax season used to stress me out every single year.

    I would promise myself I’d enter receipts monthly… and then by April or May, I’d fall off. Fast forward to January and I’d be in full panic mode trying to organize everything for my CPA.

    This year I tried something different.

    In this short episode, I walk you through exactly how I used ChatGPT to:

    • Extract text from receipt photos

    • Categorize expenses by deduction type

    • Organize farm and business receipts separately

    • Calculate totals by category

    • Prep everything for my CPA in about two hours

    ⚠️ Important: AI can make mistakes. I share how I double-checked everything and why you should never skip verification — especially when it comes to taxes.

    If you’re a busy mom entrepreneur juggling farm life, business, and family, this might save you hours during tax season.


    What I Did (Step-By-Step)

    1. Took photos/screenshots of all receipts (farm + business kept separate)

    2. Uploaded receipts into ChatGPT (5–10 at a time)

    3. Gave ChatGPT my deduction categories first

      • Example: animal feed, fertilizer, supplies, etc.

    4. Asked it to:

      • Extract title + price

      • Categorize each expense

    5. Copied results into a Google Doc

    6. Uploaded the completed document back into ChatGPT

    7. Asked it to total spending per category

    8. Entered those totals into my bookkeeping software

    9. Sent everything to my CPA

    What would have taken hours of manual entry took about two hours total.
